Terms and Conditions
These terms cover work quoted and performed by Nepean Hood Cleaning Pros for commercial kitchens in Nepean, Barrhaven, Bells Corners and Manotick. They exist so that the quote, the visit and the invoice describe the same job, and so nothing on this website is read as a promise the work does not make. Last updated: August 2026.
Quotes and scope
A written quote is the agreement. Nothing on this website overrides it.
Prices published on this site, including from $385 per visit for a single-hood kitchen and from $725 per visit for a multi-hood line, are starting points for a typical kitchen and not an offer for any particular one. The written quote that follows the free walk-through is the priced document, it names the canopies and duct sections included, and the invoice matches it.
Work in scope is the cleaning of commercial kitchen exhaust systems: the canopy, baffle filters, grease troughs and cups, the plenum, accessible duct runs, and the rooftop exhaust fan, together with the cutting and fitting of access panels where a duct cannot otherwise be reached. Anything not named on the quote is not included.
Out of scope, and never quoted or performed: residential range hood cleaning, fire suppression system service, recharging or recertification, duct fabrication, fan replacement or other mechanical repair, and general janitorial or floor cleaning. Where a fault is spotted during a visit, such as a seized fan hinge or a suppression component that looks overdue, it is photographed and reported so the operator can engage the right trade. Reporting a fault is not an inspection of that equipment and is not a certification of it.
Access, scheduling and site conditions
Most schedule changes come from the building rather than the kitchen.
- Access. The customer provides access to the kitchen and, where the quote includes duct or fan work, safe access to the roof. Where a landlord permit or a shared roof hatch is involved, arranging it is the customer's responsibility and the walk-through identifies it in advance.
- Safe conditions. Rooftop work is not performed where snow, ice or an unsafe surface makes it unsafe. In that case the hood and duct are cleaned as quoted, the fan is scheduled for the next safe window, and the certificate records exactly what was and was not done.
- Inaccessible sections. Any part of the system that cannot be reached is named on the certificate along with what would be needed to reach it. Nothing is recorded as cleaned when it was not.
- Cancellations. A booked overnight visit that is cancelled at short notice may be rescheduled rather than refunded where crew time has been committed to it. This is raised at booking, not after.
- Condition on arrival. Where the system found on site is materially different from what was described at the walk-through, the work stops at the quoted scope and a revised quote is issued rather than the invoice being increased without agreement.
Documentation, insurance and payment
The paperwork is part of the service, not an extra.
Every completed visit produces before-and-after photographs of each cleaned surface, a signed certificate of performance naming the published NFPA 96 standard, and a dated service sticker on the hood. Proof of WSIB coverage and liability insurance is provided before work begins.
Work is performed to the published NFPA 96 standard. Nepean Hood Cleaning Pros is not affiliated with the National Fire Protection Association, holds no certification issued by it, and makes no claim to be certified by it, because no such certification exists for cleaning contractors. Nothing on this site or on a certificate should be read as a guarantee that a specific inspection will be passed or that a specific insurance claim will be paid, since both decisions rest with the authority having jurisdiction and the insurer.
Invoices are issued on completion and are payable on the terms stated on the quote. Institutional and multi-site customers are invoiced against the purchase order referenced on the quote.
These terms are governed by the laws of the Province of Ontario. The website is provided as it is, its content is general information rather than advice about any particular kitchen, and the operating detail on it may change as the standard or the code changes.
Questions about these terms
Does the published price ever change after the quote?
The quoted price does not change for the scope quoted. It changes only where the system found on site is materially different from what was described, and then a revised quote is issued for agreement before further work is done. An invoice larger than an accepted quote, with no revised quote behind it, is not how this works.
Is fire suppression equipment touched during a clean?
No. Suppression nozzles and links are protected and left in place. Servicing, recharging and recertifying suppression equipment is licensed work performed by a different trade, and it is not offered here in any form.
What happens if something is damaged during a visit?
Report it as soon as it is noticed. Liability insurance is in place and proof of it is supplied before the work starts. Containment is used on every visit specifically to protect the appliances, the line and the floor underneath the work.
Do these terms apply to a scheduled programme?
Yes, alongside whatever is written into the programme quote. A programme fixes the frequency and the price for the period covered, and each visit within it produces its own certificate and photo report in sequence.
